Changement Psychology is committed to protecting your privacy and the confidentiality of your personal and health information. This policy explains how we collect, use, store, and protect your information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the Health Records Act 2001 (Vic).
1. What information we collect
We collect personal and health information that is necessary to provide psychological services. This may include:
-
Your name, address, date of birth, and contact details
-
Referral information from your GP, specialist, insurer, or case manager
-
Health and medical information relevant to your presenting concerns

Notes, assessments, and reports created during sessions

Billing, payment, and administrative information
We only collect information that is relevant to your care, and we do so with your knowledge and consent.
2. How we collect information
Information is collected in several ways, including:
-
Directly from you during sessions, intake forms, phone calls, or email correspondence
-
Through secure electronic health record systems such as Best Practice, our clinical software
-
From other health or service providers (e.g., your GP, psychiatrist, or insurer) when you have provided consent for them to share information with us
We may also collect non-identifiable website analytics data (e.g., cookies or page visits) to help improve our website performance.
3. Purpose of collection
Your personal and health information is used to:
-
Provide psychological assessment, therapy, and related services
-
Communicate with you and relevant parties involved in your care (with consent)
-
Maintain accurate clinical records
-
Manage payments, rebates, and claims (e.g., Medicare, TAC, WorkSafe)
-
Fulfil administrative, legal, and ethical obligations
4. Storage and security of information
Client records are securely stored in Best Practice, an Australian-based, encrypted practice management platform that complies with all Australian privacy and health data standards.
In limited cases, hard-copy documents may be stored in locked, secure facilities accessible only to authorised personnel.
Changement Psychology is required by law to retain client records for at least seven (7) years from the last date of contact (or until the age of 25 for minors).
We take all reasonable steps to protect your information from loss, misuse, unauthorised access, or disclosure.
5. Disclosure of information
Your information remains confidential and will not be shared without your consent, except where required or authorised by law. Situations where disclosure may be necessary include:
-
If there is a risk of harm to yourself or another person
-
When information is subpoenaed by a court of law
-
Where mandatory reporting obligations apply (e.g., child safety concerns)
When appropriate, and with your consent, your psychologist may communicate with your GP, specialist, case manager, or other treating professionals to support your treatment goals.
If you are claiming rebates through Medicare, TAC, WorkSafe, or another agency, limited summary reports may be shared to meet those organisations’ reporting requirements.
6. Consequences of withholding information
You have the right not to share certain information; however, withholding relevant details may limit our ability to provide appropriate and effective care.
7. Access and correction of information
You may request access to, or correction of, the personal information held about you.
Requests can be made by emailing admin@changement.com.au.
Your psychologist may discuss the records with you and provide a summary or copy where appropriate, in accordance with the Privacy Act 1988 (Cth).
Requests will be responded to within 10 business days.

Please do not share personal or confidential information through social media channels — these are not monitored for clinical communication.
9. Third-party service providers
Changement Psychology may engage professional service providers (e.g., IT, accountants, or secure data-hosting partners) who may have incidental access to limited administrative information. All such providers are bound by confidentiality agreements and Australian privacy laws.
No client information is sent or stored overseas.
